The email tool connects to any IMAP/SMTP email account. Your Email Agent reads your inbox, drafts replies, and sends messages — but nothing goes out without your approval unless you explicitly allow it.

What your Email Agent can do

  • Monitor your inbox — checks for new messages on a schedule or in real time
  • Triage incoming mail — categorises, flags, and summarises what matters
  • Draft replies — writes a reply based on the email context and what it knows about you
  • Send messages — with your approval, or automatically for low-stakes responses you’ve pre-approved
  • Search mail — find emails by sender, subject, date, or content
  • Forward and route — forward relevant messages to the right person or system

Connecting an email account

Go to Settings → Channels → Email and add your account credentials:
  • IMAP server — e.g. imap.gmail.com:993 for Gmail
  • SMTP server — e.g. smtp.gmail.com:587 for Gmail
  • Email address and password (or app password for Gmail/Outlook)
For Gmail, you’ll need to generate an App Password in your Google Account security settings — standard passwords won’t work with IMAP. Once connected, your Email Agent will begin monitoring the inbox.

Using email aliases for routing

You can give your agents their own email addresses. For example:
Your address:       alex@company.com
Agent alias:        alex+prime@company.com
Any email to the alias routes directly to Prime for handling. You can set up multiple aliases — one per agent, or one per type of work (support@, orders@, etc.).

Approval flow

By default, every outbound email requires your approval:
  1. The Email Agent drafts a reply
  2. An approval card appears in your dashboard (and optionally on Telegram, Slack, or any connected channel)
  3. You review the draft, edit if needed, and approve
  4. The email is sent
You can change this to auto-approve for specific senders, labels, or types of response — configured in the agent’s settings.

What the Email Agent remembers

The Email Agent builds memory over time:
  • How you like emails addressed (formal or informal, by first name or title)
  • Standard responses to recurring questions
  • Which senders are high priority
  • Threads you’ve asked it to follow up on
  • People and context it’s learned from past exchanges
This means replies get better and more personalised over time.

Privacy note

Your email credentials are encrypted and stored locally on your Qorven server. Email content is processed by your configured AI model (which may be a cloud provider depending on your setup). If you’re handling sensitive email, consider using a local model. See Privacy →.
